VolunteerSignup alternative
A VolunteerSignup alternative for volunteer shifts that fill up
Give every shift a start time and a cap. When one fills, the next volunteer joins its waitlist and moves up if someone cancels. Each volunteer gets a reminder 24 hours and 1 hour before their shift.
No credit card. Free covers 1 event at a time and 100 signups.
In short
VolunteerSignup is a free signup sheet for non-commercial, volunteer-supported groups, with no limit on sheets or rows (VolunteerSignup FAQ, as of Oct 26, 2026). On VolunteerSignup, when a task is full no one else can sign up for it (VolunteerSignup, as of Oct 26, 2026). SignUpSpark is built around shifts: a cap on each one, a waitlist when it fills, a cancel link in every confirmation, and reminders timed to each shift.
Built for a shift schedule, not just a task list
Picture a food pantry Saturday. Setup at 7am needs four people, two distribution shifts need six each, and cleanup at 1pm needs three. In SignUpSpark each of those is a job, and each job holds its own shifts with a start time, an end time, and a cap on how many volunteers it needs.
You do not have to type every shift by hand. Split into times takes a window like 8am to noon, a shift length, and the people you need per shift, and builds the shifts for every day you pick. When several jobs run on the same times, Copy to other slots copies one job's shifts onto the others and skips any time a job already has.
Volunteers open one link, pick a shift that still has room, and enter a name and email. They never make an account, and the page has no ads. If you want to hear about each signup as it happens, turn on Email me when someone signs up for the event.
When a shift reaches its cap, it shows as full and the rest of the schedule stays open. Volunteers can join that shift's waitlist automatically. If someone cancels with the link in their confirmation email, the first person waiting moves into the spot and gets an email saying a spot opened. You do not have to watch the sheet or reshuffle names.
Reminders follow the shift, not the event. A volunteer on the 1pm cleanup crew gets an email around 1pm the day before and another around noon, and a volunteer on the 7am setup crew gets theirs before 7am. Nothing to schedule, on Free or Pro.

How to move a VolunteerSignup sheet to SignUpSpark
There is no import tool, so you rebuild the sheet once. After that, Copy to other slots and the waitlist do the repetitive work.
1. Download your current signups
On VolunteerSignup, open the sheet from My sheets and download your signups, so you keep the names and contact details you already have.
2. Map each row to a job and its shifts
Each task row becomes a job. If a row stands for a time block, like Setup 8am to 9am, make it a shift on that job and set the cap to the number of people the row allowed.
3. Build the schedule
Create an event, add your jobs, and use Split into times for long windows. When several jobs share the same times, use Copy to other slots instead of entering them again.
4. Move your instructions
Put anything you used to write in the Details box into the event description. Volunteers can add a note with their signup for things like T shirt size.
5. Share the new link
Send the new link by email, text, or your group chat. Full shifts get a waitlist automatically, and reminders go out on their own.
6. Close the old sheet
Once everyone has the new link, deactivate the old VolunteerSignup sheet. Anyone who opens it will see that it is no longer active.

Common questions
Can I cap how many volunteers each shift needs?
Yes. Every shift has its own cap. When it is reached, that shift shows as full and the rest of the schedule stays open. On Free, the whole event can take up to 100 signups; Pro has no limit.
What happens when a volunteer shift fills up?
When a shift fills, volunteers can join its waitlist automatically, at no cost. When someone cancels, the first person waiting moves into the spot and gets an email. On VolunteerSignup, no one else can sign up once a task is full (VolunteerSignup, as of Oct 26, 2026).
Do volunteers get reminders before their shift?
Yes, on their own. Each volunteer gets an email 24 hours before their shift starts and another 1 hour before, on Free and Pro. You do not set anything up. A shift without a start time uses the event's start time. VolunteerSignup lets organizers set up reminder emails for their volunteers (VolunteerSignup help, as of Oct 26, 2026).
Is SignUpSpark free for volunteer groups?
SignUpSpark Free costs nothing for 1 event at a time with up to 100 signups, with no ads and no credit card. Pro adds unlimited events and signups for $12/month. VolunteerSignup is free with no limit on sheets or rows for non-commercial, volunteer-supported groups (VolunteerSignup FAQ, as of Oct 26, 2026).
